Counter sales and day closing

Record shop sales with a barcode reader, invoice on request, cancel, handle returns and close the day.

Where to find it
Documents → More → Counter sale

Open in Nanus

What it is for

The counter is your shop till: you record what you sell, the goods leave the stock and the amounts go into the Daily takings register, the register of daily receipts that were not invoiced (in Italian “corrispettivi”).

Nanus is not an electronic cash register: the commercial document (receipt) must be issued with the electronic cash register or through the Revenue Agency’s “Documento commerciale online” service. The receipt you print from Nanus is a courtesy copy only.

Record a sale

  1. Open Documents → More → Counter sale.
  2. In the Barcode or item field scan the code with the reader or type part of the description. Scanning the same item again adds one to the quantity.
  3. For a product without a record use Free line and enter description, price and VAT.
  4. If needed, change the line’s Quantity, Price incl. VAT and Discount %.
  5. Choose the payment: Cash, Electronic or Not collected. With cash, enter the Cash received and Nanus works out the change.
  6. Tap Record sale.

In the Customer and commercial document section you can enter the Customer, needed if they ask for an invoice, and the Commercial document no. printed by the cash register.

To keep the counter at hand, in More choose Show the counter in the menu (on this device): the Counter item appears on that device only.

After the sale

  • Courtesy receipt prints the receipt as a PDF.
  • Invoice (if you entered the customer) prepares the invoice for the sale.
  • New sale clears the counter for the next customer.

From More → Day’s sales and closing you see the sales of the chosen Day. From each sale’s menu you can choose Cancel the sale while the day is open (the goods go back into stock) or, once the day is closed, Record a return: the return is dated today, refunds the amount with the same payment and enters today’s takings as a negative amount. Record the return on the cash register too.

Invoice sales already recorded

  1. In Day’s sales and closing tick the sales of the same customer.
  2. Tap Invoice (N), where N is the number of sales chosen.
  3. Check the invoice and issue it.

The lines are those of the sales with VAT extracted, the goods do not leave stock again and those amounts leave the daily takings, so VAT is not counted twice.

Day closing

At the bottom of Day’s sales and closing open Day closing: you see the totals and collections by payment, you can note the cash register’s Z report no. and tap Close the day. A closed day can be reopened with Reopen the day.

If you do not record sales in Nanus, tick I only use the cash register: enter the Z report totals and enter for each VAT rate Takings incl. VAT and Of which invoiced (with Add VAT rate for the others), then the collections. Those totals replace the Nanus sales of that day.

What Nanus checks

  • Sales invoiced together must belong to the same customer and not be invoiced already; a sale with returns cannot be invoiced this way.
  • The invoice cannot be dated before the sale; if the sale is from another month Nanus warns you to check with your accountant.
  • An invoiced sale is reversed with a credit note from the invoice, not by cancelling it.
  • With zero VAT you must state the nature of the transaction (the N1–N7 code explaining why there is no VAT).
  • In a manual closing the collections must match the total takings.

Frequently asked questions

Can I use Nanus instead of the electronic cash register?

No: the receipt must be issued with the electronic cash register or with “Documento commerciale online”. Nanus records the sale for stock, daily takings and any invoice.

The customer asks for an invoice after paying: what do I do?

Enter the customer in the sale, or in Day’s sales and closing tick the sale and tap Invoice (N).

I closed the day but I need to cancel a sale.

Reopen the day with Reopen the day, cancel the sale and close again; otherwise record a return.
