Create an e-invoice
How to prepare and issue an Italian e-invoice: customer, lines, VAT, payment terms and the checks run before sending it to the SDI.
- Where to find it
- Documents → New invoice
What it is for
The immediate invoice (type TD01) is the document you issue when you sell goods or services. Nanus prepares it in the FatturaPA format, the XML layout that reaches the Italian Revenue Agency through the SDI (Sistema di Interscambio, the Italian e-invoicing exchange system). While you type, Nanus recalculates totals and checks and tells you what is missing.
How to do it
- Open Documents and tap New invoice, or type in the search bar, for example “New invoice Rossi”.
- In the Header section choose the Customer: payment terms, price list, discounts, currency and agent come from their record. If they are not there yet, create them with + New customer.
- Check Document type, Number and Date. Nanus proposes the number; if you use several numbering series, fill in Series.
- In the Lines section pick the product by code or description, or type the code in Add by code or barcode and press Enter: description, price and VAT fill in automatically.
- Open the other sections only when you need them (payment, references, stamp duty, currency, transport, attachments) and check the preview at the bottom with totals and due dates.
- Tap Issue invoice (or press Ctrl+S). The invoice is saved as a Draft: to transmit it, open its record and tap Send to SDI.
Issue invoice becomes active only when there is a customer, at least one line and no error to fix.
Lines and amounts
- Discount % also accepts cascading discounts such as
10+5. - VAT: with a 0% rate the Nature field appears, the N1 to N7 code explaining why there is no VAT (for example
N2.2under the flat-rate regime,N3.1for exports). - Prices including VAT: enter prices with VAT and Nanus removes it when you issue the invoice, because e-invoice prices must exclude VAT.
- Document discount % is added to every line’s discounts, except charges; Discount amount on total lowers the total and the amount due while taxable amount and VAT stay whole.
- Import lines from CSV or Excel loads lines from a file.
- Collection charges from the payment terms and shipping charges from the company details are added automatically as lines.
Payment, references and delivery
- Payment and notes: Payment (if empty, the customer’s terms are used), Account to be paid into, Advance already received (deducted from the amount due, not from the total), VAT chargeability and Reason.
- References and notes: Your reference and Notes appear on the PDF courtesy copy; Administrative reference is a code the customer asks for that goes into the e-invoice.
- E-invoice delivery: a Recipient code or PEC (certified email address) for this invoice only.
- Attachments: up to 10 files, about 3.5 MB in total, sent to the SDI inside the invoice.
What Nanus checks
At the top you see errors, which block issuing, and warnings, which do not. The most common:
- an Italian customer with neither VAT number nor tax code, or a foreign customer with a recipient code other than
XXXXXXX; - a number already used in the same year; a future date; a date earlier than the year’s last invoice (warning);
- a 0% rate without a nature code, a nature code with a non-zero rate, a rate that is unusual in Italy (warning);
- recipient code
0000000without a PEC: the invoice will only be in the customer’s area on the Revenue Agency site (warning); - missing company details: the Fill in company details button appears.
Special cases
- From an order, a proforma or counter sales the invoice opens already filled in; from an order only the quantities still to be delivered are proposed.
- An issued invoice cannot be edited: while it is a draft or after a rejection it can be deleted, otherwise you correct it with a credit note.
