Invoice in a foreign currency
How to invoice a foreign customer in dollars, pounds or other currencies, with the exchange rate and euro equivalent required for Italian VAT.
- Where to find it
- Documents → New invoice → Currency
What it is for
You can invoice foreign customers in another currency. The XML file and the courtesy copy show amounts in the chosen currency, but taxable amount and VAT must be recorded in euro at the rate of the invoice date. That is why Nanus asks for the exchange rate and writes the euro equivalent on the invoice.
How to do it
- Create the invoice from Documents → New invoice and choose the customer.
- Open the Currency section and choose the Currency: the list includes USD, GBP, CHF, JPY, CNY, CAD, AUD, the Nordic and Eastern European currencies, AED, INR and BRL.
- In {divisa} per 1 euro enter the rate, that is how many units of the currency one euro is worth (for example
1.0850dollars). Use the ECB reference rate. - Check the Rate date: it defaults to the invoice date.
- Enter line prices and amounts directly in the chosen currency, then issue the invoice.
In the customer record you can set Invoice currency and Document language: the currency is then proposed on every new invoice, while the rate must be entered each time.
What appears on the invoice
- all amounts in the chosen currency, in the XML file and on the PDF;
- a sentence with the euro equivalent: “Euro equivalent at the rate 1 EUR = … of …: taxable amount …, VAT …, total …”, in the preview, in the reason text of the e-invoice and on the courtesy copy;
- in the Documents list each invoice’s total in its own currency, while the totals at the bottom of the list are in euro.
VAT registers, due dates and statistics use the euro amounts calculated with the rate saved on the invoice.
What Nanus checks
- with a currency other than euro the rate is required: “Invoice in USD: enter the exchange rate (USD per euro) and its date, for the euro equivalent”;
- the rate must be greater than zero;
- for a foreign customer the recipient code must be
XXXXXXX.
Frequently asked questions
Does Nanus fetch the rate automatically?
No: you enter it, usually the ECB reference rate published for the invoice date.
Why is a foreign-currency invoice missing from the list totals?
Foreign-currency invoices without a rate are left out, for example some imported from other programs: the list says so below the totals.
