What it is for

A debit note (type TD05) increases what the customer owes on an invoice already issued: a price difference, late payment interest, collection or recovery costs. It is a new receivable: its instalments go into the payment schedule and it does not affect stock.

How to do it

  1. Open Documents and the invoice the charge refers to.
  2. Tap More and choose Debit note: New debit note opens with an empty line.
  3. Fill in the line with description, amount and VAT of the charge. You can add more lines or pick a product.
  4. In Reason explain the charge, for example late payment interest, price difference, collection costs.
  5. Check number, date and preview, then tap Issue debit note.
  6. Open the saved note and tap Send to SDI.

What happens next

  • The note’s instalments enter the payment schedule as a new receivable.
  • The invoice record shows Debit notes (or Credit and debit notes if there are both) with the links.
  • The note takes the public administration references (order, contract, CIG, CUP) from the invoice.

What Nanus checks

  • the date cannot be earlier than the invoice date;
  • a debit note adjusts an invoice, not another note;
  • the same checks as for an invoice apply to VAT rates, nature codes and numbering.

If the amount is late payment interest outside the scope of VAT, use a 0% rate with the nature code your accountant indicates.

Special cases

  • A draft debit note can be removed with More → Delete: its instalments are taken out of the payment schedule.
  • To reduce an invoice you need a credit note instead.

Frequently asked questions

Debit note or new invoice?

The debit note stays linked to the original invoice and is the intended way to add to it; a new invoice is right for a new sale.

Does a debit note move stock?

No: it is only used to charge amounts.
