Fix an invoice rejected by the SDI

What to do when the SDI rejects an invoice: read the error code, fix the cause and transmit the invoice again.

Where to find it
Home → To do → invoices rejected by SDI

Open in Nanus

What rejected means

The SDI (Sistema di Interscambio, the Italian e-invoicing exchange system) checks every file it receives. If it finds an error it sends a rejection notice and the invoice is not issued: for tax purposes it does not exist. That is why a Rejected invoice is not corrected with a credit note, but by redoing and resending the invoice itself.

Find the error

  1. On the Home page, under To do, tap the line about invoices rejected by SDI, or in Documents set the Status filter to Rejected.
  2. Open the invoice: in the Exchange System (SDI) section you find, highlighted, the code and description of each error returned by the SDI (for example a tax code or VAT number not found in the tax register).
  3. Work out where the wrong data lives: often in the customer record, sometimes in your company details or in the lines.

Fix and resend

A saved invoice cannot be edited: Nanus keeps it exactly as issued. There are two ways forward, depending on the cause of the rejection.

  • If the rejection does not depend on the invoice data (for example a problem with the file or the sending channel): tap Send to SDI again. The same content leaves with a new file name and the old send stays in the history.
  • If the error is in the data, fix the cause (for example the customer record), then on the rejected invoice choose More → Delete and redo the invoice with New invoice, entering the same number and date. Finally tap Send to SDI.

A rejected invoice that is issued again within 5 days of the rejection notice keeps its original number and date. Before deleting it, download the PDF: it helps you copy the lines.

Deleting also undoes instalments, stock movements and links to orders and delivery notes; it is not possible if the invoice has recorded payments, linked notes or an instalment already in a bank batch.

How to avoid it

  • Before sending, Nanus runs many checks that match the SDI rejection codes: fix the errors and read the warnings listed at the top of the invoice.
  • Check the VAT number of EU customers on VIES from their record.
  • Keep your customers’ recipient code and PEC up to date.

Frequently asked questions

Do I need a credit note for a rejected invoice?

No: a rejected invoice is not issued. You correct it and transmit it again.

Why does the receipt mention a file with another name?

Nanus uses a new file name for every send, because the SDI rejects names it has already received.
