Recurring invoices (fees and subscriptions)

How to set customer, lines and frequency of fees, rents and subscriptions once and issue the invoices when they fall due.

Where to find it
Documents → More → Recurring invoices

Open in Nanus

What it is for

Fees, subscriptions, rents and support contracts are invoiced the same way at fixed intervals. With recurring invoices you prepare a template with customer, lines and frequency: when the date arrives Nanus reminds you and issues the invoice with one tap. If you like, it can also issue and email it on its own.

How to do it

  1. Open Documents, tap More, choose Recurring invoices, then New recurring invoice. Alternatively, from an issued invoice choose More → Make recurring: customer, type, lines, reason and discounts come from it and the next date is one period after the invoice.
  2. In Template enter a recognisable Description (for example “Rossi support fee”), choose the Customer and the Type.
  3. In Schedule set Frequency (Monthly, Every two months, Quarterly, Every six months or Yearly), Next invoice and, if the contract ends, Last date. The Active tick box lets you pause the template without deleting it.
  4. In Lines write the lines as on an invoice. In descriptions you can use {mese}, which becomes the period month (for example 10/2026), and {anno} for the year.
  5. In Terms and notes you can choose a Payment different from the customer’s and a Reason.
  6. Tap Save.

Issue the invoices that are due

On the next invoice date the template becomes due: you see it on the Home page under To do, in a reminder in Documents (Go to recurring invoices) and in the recurring invoices list with “1 to issue”.

  1. Open Recurring invoices and tap Issue 1 invoice (or Issue N invoices if more are due).
  2. Nanus creates a draft invoice for each period due, dated today, and moves the next date forward.
  3. Open the invoices created (listed in the result and under Issued invoices in the template) and send them to the SDI.

Recurring invoices do not move stock: they are meant for services and fees.

Automatic issuing

In Settings → Automations you can tick Issue recurring invoices when they are due and Email the issued recurring invoices to the customer. Once a day, the first time an administrator opens the app (in the desktop app even without opening it), Nanus issues the invoices due and, if chosen, emails the PDFs through your outgoing mail. Sending to the SDI is still done from each invoice’s record.

What Nanus checks

  • if the Last date comes before the Next invoice, the template would never issue anything and Nanus flags it;
  • each invoice goes through the same checks as an ordinary invoice: if one fails, issuing stops there and shows you why;
  • the day of the month chosen at the start stays fixed even after a shorter month (31, then 30, then 31 again).

Deleting a template with More → Delete keeps the invoices already issued; only the schedule and the template lines are lost.

Frequently asked questions

What happens if a few months are skipped?

At the next issue Nanus creates one invoice for each period due, all dated today.

Can I pause a contract?

Yes: untick Active in the template and save. Without a last date the template continues until you pause it.
