Issue a credit note
How to reverse all or part of an issued invoice with a TD04 credit note: returned goods, discounts, price errors.
- Where to find it
- Documents → invoice record → More → Credit note
What it is for
An invoice that has reached the SDI (the Italian e-invoicing exchange system) cannot be changed or deleted. For a return, a discount agreed afterwards or a price error you issue a credit note (type TD04) that reduces all or part of the invoice. Nanus links it to the invoice it adjusts, takes the returned goods back into stock and reduces the instalments still open.
How to do it
- Open Documents and the invoice to adjust.
- Tap More and choose Credit note. New credit note opens with all the invoice lines already proposed.
- Remove the lines you do not want to credit or reduce quantities and prices. For an allowance without goods you can write a free line with the amount.
- In Reason and stock enter the Reason (for example goods returned, agreed discount, price error) and leave Return the items to stock ticked if the goods come back.
- Check number, date and preview, then tap Issue credit note.
- The note is saved as a draft: open it and tap Send to SDI, as for an invoice.
In the search bar you can type “credit note” and the customer’s name: Nanus asks you to choose the invoice to adjust.
Effect on stock and due dates
- Stock-managed items come back as a customer return, into the warehouse they left from.
- The note’s amount reduces the invoice’s open instalments in the payment schedule.
- If the invoice had already been paid, Nanus warns you with the amount to refund to the customer.
- If the invoice had an agent, the note also reverses the agent’s commission.
- The invoice record shows Credit notes with a link to each note; in the note, Adjusted invoice takes you back to the invoice.
What Nanus checks
- the note cannot exceed what is left to credit on the invoice, counting notes already issued;
- its date cannot be earlier than the date of the invoice it adjusts;
- a note adjusts an invoice, not another note;
- the same checks as for an invoice apply (customer, VAT rates, nature codes, numbering).
Public administration references (order, contract, CIG, CUP) are taken from the invoice.
Special cases
- A note that is still a draft can be removed with More → Delete: the stock return and the instalment reduction are undone.
- An invoice with linked notes cannot be deleted while the notes exist.
- Self-invoices are not adjusted with a credit note: the option does not appear for them.
- If the invoice was rejected by the SDI you do not need a note: correct it and send it again.
Frequently asked questions
Can I cancel an invoice that has already been delivered?
It cannot be deleted: issue a credit note for the full amount and, if needed, a new correct invoice.
Does the credit note go to the SDI?
Yes, like any e-invoice: from its record with Send to SDI.
