Create a product
How to create goods or a service with code, price, VAT, barcode and stock tracking, ready to use in invoices, delivery notes and orders.
- Where to find it
- Products → New product
What it is for
A product is an entry in your catalogue. When you pick it in a document, by typing the code or description or scanning the barcode, Nanus fills in description, price, VAT and the customer’s discounts. If you track its stock, documents move its quantity.
How to do it
- Open Products and tap New product (keyboard:
N). - At the top choose Goods or Service.
- In Main details enter Code and Description, the Unit (e.g.
pzfor pieces,kg,orefor hours) and the Price (excl. VAT). - Choose the VAT rate (22, 10, 5, 4 or 0%). With 0% enter the Nature of the transaction (N1-N7, the Italian code for why no VAT is charged) and the Legal reference.
- Optionally add Category and Subcategory.
- Tap Save (or
Ctrl+S).
Tick Prices include VAT (VAT is separated out in documents) if you work with retail prices: the field becomes Price including VAT and Nanus works out the taxable amount in documents.
Stock and availability
For goods only, the Inventory section holds Track inventory, Track lots, Track serial numbers, Minimum stock, Purchase price, Barcode, Net weight (kg) and Pieces per package (proposes the number of packages on the delivery note). For a saved product you see In stock, Committed to customer orders, On order from suppliers and Available.
The other sections
- Intrastat: 8-digit Combined nomenclature (and The quantity is the supplementary unit) for goods, 5 or 6-digit Service code (CPA) for services.
- Variants and Kit (bundle), explained on their own pages.
- Suppliers: for each supplier their code, purchase price, discounts, minimum pack, unit and the Preferred one, used for reordering.
- Price lists and Prices reserved for customers: prices other than the base price.
- Agent commission: a percentage for this product.
- Prices charged: the prices it was sold at on recent invoices.
- Attachments: data sheets, photos, up to 10 files.
What Nanus checks
- A 0% rate needs a nature code; with a non-zero rate no nature code is allowed.
- A warning for a VAT rate that is unusual in Italy.
- A valid barcode (EAN-8, EAN-13, UPC-A or GTIN-14 with the right check digit).
- A code that is unique across all products and variants.
- Lots and serial numbers need stock tracking; a warning if you track stock for a service.
- A warning if the selling price is below the purchase cost.
List, export and delete
In the list you search by code, description or barcode and see price, VAT, category and stock; stock below the minimum is highlighted. More → Export CSV downloads the whole catalogue.
From a tablet up, the Columns button next to the search chooses the columns of the list; the choice is kept for your user on this device and Restore defaults goes back to the basic ones. Besides Unit, Subcategory, Barcode, Minimum stock and one column for each price list (the price net of its discounts), you have:
- Usual supplier: the preferred one, or the first of the product’s suppliers.
- In stock, Committed (in customer orders still to deliver), Incoming (ordered from suppliers) and Available (stock plus incoming minus committed), for stock-managed products.
- Average monthly sales: the quantity sold in the last twelve months divided by twelve, from stock issues or from invoices (the higher one counts, so goods delivered with a delivery note and invoiced later are not counted twice).
- Estimated stock-out: the date the stock runs out at that pace, with the days left; Out of stock if it already has.
- Average cost of the receipts in stock, Last cost of purchase, Average selling price of the invoices of the last twelve months, Last receipt and Last issue.
More → Delete cannot be undone. A product with stock movements or used as a kit component cannot be deleted.
Frequently asked questions
Do I need a product for every invoice line?
No: documents also accept free lines. Products are worth it for what you sell often or keep in stock.
How do I load the opening stock?
With a Receipt movement in Inventory, or with the Stock column of the file import.
