Add a customer or supplier

How to create a customer or supplier record with the data an Italian e-invoice needs: VAT number, recipient code or PEC address.

Where to find it
Customers & suppliers → New contact

Open in Nanus

What it is for

A contact holds the details of a customer, a supplier or someone who is both. Nanus takes the addressee, delivery channel and commercial terms of invoices, delivery notes, quotes, orders and purchases from here, so you never type them twice. In the list you search by name, code, VAT number or town and filter All, Customers or Suppliers.

How to do it

  1. Open Customers & suppliers and tap New contact (keyboard: N).
  2. At the top choose Customer, Supplier or Customer/supplier.
  3. In Tax details choose Company and enter the Company name, or Individual and enter First name and Last name. Then fill in Country, VAT number and Tax code (codice fiscale).
  4. Fill in the Address section: Address including the street number, Postcode, Town, Province and Country (two-letter code, IT for Italy).
  5. In E-invoice delivery enter the customer’s Recipient code or PEC address.
  6. Tap Save (or Ctrl+S).

If you create the customer while writing a document, with + New customer, after saving you go back to the document with the contact already selected.

Delivery through the SDI

The SDI (Sistema di Interscambio, the Italian Revenue Agency’s e-invoicing exchange system) delivers the e-invoice to the recipient code or to the PEC (certified email) address you enter.

  • Recipient code (codice destinatario): 7 characters given by the customer.
  • 0000000 if the customer only gives a PEC address or is a private individual. If you leave the field empty, Nanus uses this value for an Italian customer.
  • XXXXXXX for foreign customers and 2R4GTO8 for San Marino businesses: if the field is empty Nanus fills them in.

The other sections

  • Contacts: Email, Phone, Mobile, Contact person.
  • Commercial terms: Payment terms, Price list, cascading Discounts (e.g. 10+5), VAT exemption with the nature code and Legal reference, Agent (if you have created any), Document language, Invoice currency, Split payment, Administrative reference and Do not charge collection and shipping costs. They are proposed in new documents.
  • Bank: IBAN, ABI, CAB, BIC/SWIFT and the SDD direct debit mandate (SDD mandate reference, Mandate signature date, SDD scheme). With an Italian IBAN, ABI and CAB fill themselves in.
  • Delivery addresses: shipping addresses other than the main one, for delivery notes and orders, with Add delivery address.
  • Notes and an internal Code.
  • Permanent establishment and tax representative: shown for a foreign contact, only needed if the customer has a permanent establishment or a tax representative in Italy.
  • Attachments: contracts, data sheets, photos, up to 10 files of about 3.5 MB in total, after the first save.

What Nanus checks

  • A company name or first and last name, not both.
  • Valid Italian VAT number and tax code; an Italian customer needs at least one of the two.
  • For a foreign contact the recipient code must be XXXXXXX (or 2R4GTO8 for San Marino).
  • A warning if an Italian address has no province.
  • A warning if a customer with a VAT number has neither recipient code nor PEC: invoices will only be available in their tax drawer (cassetto fiscale) on the Revenue Agency website.
  • Valid IBAN and BIC, ABI and CAB consistent with the IBAN.
  • A warning if you turn on split payment with a 7-character recipient code, which belongs to businesses and not to public administrations.
  • Duplicates: if a contact with the same VAT number or tax code already exists, a warning with Open appears; the record is saved anyway.

Edit and delete

Open the record, change the data and tap Save: new documents use the updated data, invoices already issued stay as they are. For a supplier, More → Supplier price list opens their codes and purchase prices.

More → Delete cannot be undone. A contact used in a delivery note cannot be deleted: Nanus replies “Cannot delete: it is used in other documents.”.
