What it is for

The payment schedule collects every payment instalment: amounts customers owe you (Receivable) and amounts you owe suppliers (Payable). For each one you see the due date, the amount, what is still outstanding and whether it is late. It is where you record receipts and payments, send reminders and present RiBa and SEPA direct debits to the bank.

Where the items come from

  • When you save an invoice, each instalment in its payment details becomes a receivable item, with the instalment’s method and IBAN. Instalments are calculated from the chosen payment terms.
  • If the instalments have no amount, the net amount payable goes on a single item; if they have no date, the due date is the invoice date.
  • When you record a supplier invoice in Purchases, its instalments become payable items.
  • Credit notes (TD04) do not create items: they reduce the open instalments of the invoice they correct, starting from the last one. Simplified debit notes TD08 and the VAT integrations and self-invoices TD16–TD19 do not create items either, as they only matter for VAT. Debit notes TD05 create a new receivable.
  • Invoices in a foreign currency are entered in euro at the invoice exchange rate; the original amount stays in the item’s notes.

How to browse it

  1. Open Due dates from the menu.
  2. Choose Receivable or Payable.
  3. Filter by status: Open, Overdue, Settled or All.
  4. Search for a customer, supplier or document number in Search by name or document number (shortcut: /).
  5. Tap an item’s date to open it.

At the top you see three totals: Overdue, what falls due in the Next 30 days, and the Total receivable (or Total payable). Each instalment is Open, Partly paid or Settled; when it is late you read “N days overdue” instead.

Adding an item by hand

For rent, loan instalments, utilities or debts without an invoice in Nanus you can create the item yourself.

  1. In Due dates tap New payment due (key N).
  2. Choose Receivable or Payable.
  3. Pick the customer or supplier, or Other (type the name) and fill in Name.
  4. Fill in Due date, Amount and, if you wish, Method, Document no., Document date and Notes.
  5. Tap Save (Ctrl+S).

The data of an existing item are corrected in the Details section at the bottom of its page. The type and the source document cannot be changed.

What Nanus checks

  • The amount due must be greater than zero.
  • It warns you if the due date is earlier than the document date.
  • Recorded receipts or payments cannot exceed the amount due.

An item can be deleted (More → Delete) only if it has no receipts or payments recorded and is not in a batch presented to the bank: remove the entries or delete the batch first.

Frequently asked questions

Why is an invoice missing from the schedule?

It is probably a credit note or a document that only matters for VAT (TD08, TD16–TD19), or its instalments have a zero amount.

Who can record items?

Users with write permission on accounting. Read-only users see amounts, receipts and reminders but cannot record anything.
