Automations: recurring invoices and automatic reminders

Let Nanus issue recurring invoices when due, email them and send payment reminders to late customers, once a day.

What it is for

Some jobs are always the same. With automations Nanus does them by itself once a day: it issues the recurring invoices that are due, emails them to the customer if you want, and sends the reminder letter to customers with overdue payments.

How to do it

  1. Open Settings → Automations.
  2. Tick Issue recurring invoices when they are due. If you like, also tick Email the issued recurring invoices to the customer.
  3. Tick Send the reminder letter to customers with overdue payments and under Days overdue for each reminder enter the days separated by commas, for example 7, 30: the first reminder after 7 days, the second after 30.
  4. Tap Save.
  5. To avoid waiting until the next day, tap Run now.

Emails go through the Outgoing mail set up under Print and email, with the texts from the print settings. Set it up before turning on sending and reminders.

When they run

  • In the cloud they start the first time in the day that someone who can change the settings opens the app.
  • In the desktop app Nanus checks every hour while the program is running, even without opening the window, and runs them once a day.
  • Two simultaneous openings do not issue the same invoices twice.

How reminders are counted

For each customer Nanus looks at unpaid receivables and how many days late they are. With 7, 30 a customer gets the first reminder when a due date is more than 7 days late and the second beyond 30, but only if they have not already received that many reminders. Manual reminders count too, and no second reminder goes out on the same day.

Check the result

Below the options you see the last run: date, invoices issued, invoices sent and reminders sent. If you have online shops with automatic sync, updated products are shown too. Errors are listed one by one, for example a customer without an email address or outgoing mail not set up.

Recurring invoices issued automatically are not sent to the SDI (Sistema di Interscambio, the Italian e-invoicing exchange system) by themselves: send them like any other invoice.

Frequently asked questions

Where do I set which invoices repeat?

In recurring invoices: there you choose customer, lines and frequency. Automations issue them when they are due.

What if a customer has no email?

The reminder is not sent and the error appears in the last run: add the address in the customer’s record.
