Initial company setup

The guided setup at first sign-in: business details, address and payments in a few steps, so you can issue your first e-invoice straight away.

Where to find it

What it is for

Every e-invoice carries the details of the supplier (the cedente, i.e. whoever issues it): company or personal name, VAT number (partita IVA), tax regime and address. Until these are in place Nanus does not prepare invoices, and at first sign-in it opens a guided setup that asks for them in three steps. It takes a couple of minutes and everything can be changed later.

The setup is shown to people who can change the company settings. Someone with a read-only role does not see it.

How to do it

  1. In the Welcome to Nanus window tap Start.
  2. In the Your business step choose Company or Sole trader / professional. Enter the Company name (or First name and Last name), the VAT number and, if you have one, the Tax code (codice fiscale). Choose the Tax regime, for example RF01 Ordinary or RF19 Flat-rate scheme, and tap Next.
  3. In the Address step enter Address, Postcode, Town and Province (the two-letter code): it is the registered office or, for freelancers, the tax domicile. Tap Save and continue: from now on the details are saved.
  4. In the Payments step you can enter the IBAN printed on invoices paid by bank transfer, the BIC/SWIFT (mainly needed by customers paying from abroad) and the Default payment terms suggested on new documents. Tap Save and continue, or Skip if you prefer to do it later.
  5. On the All set screen choose Take the guided tour for a walk through the main features, or Start working.

As default payment terms you can also pick one of the most common ones (direct remittance, bank transfer 30 days end of month, RiBa and others): Nanus creates it for you when saving.

What Nanus checks

  • An Italian VAT number must be valid (11 digits with the right check digit), otherwise you see The VAT number (partita IVA) is not valid.
  • You need either a company name or first and last name, not both.
  • The IBAN must be correct and the BIC/SWIFT must have 8 or 11 characters.
  • If an error concerns the business details, the setup goes back to the first step to fix it; IBAN errors are fixed in the Payments step.

After the setup

The All set screen suggests the next steps, which you can do whenever you like from Settings:

  • Choose how to send to SDI: the channel for sending to the SDI (Sistema di Interscambio, the Italian e-invoicing exchange system) – certified email, intermediary or direct channel – and receiving supplier invoices.
  • Add logo and layout: the courtesy PDF and the mailbox for emailing documents.
  • Import your data: customers, products and invoices from other software.

Special cases

  • With Later the setup is not offered again on that device. While details are missing, the Home page shows Complete your company details with the Set up now button.
  • Already using Nanus on the web or on another computer? In the first window tap Already using Nanus on the web or on another computer? Bring your data over with a backup and choose the backup file: contacts, documents, attachments and settings all come across together. Mail and PEC (certified email) passwords are not in the file: enter them again after restoring.
  • Only in the desktop app you also see Have a cloud account? Work on the same data as your browser and smartphone, to connect the app to your cloud account.
  • The other company details (more bank accounts, PEC, SIA code, withholding tax and pension fund, cash-basis VAT) are completed in Settings → Company details.

Frequently asked questions

I closed the setup by mistake: how do I reopen it?

From the Home page with Set up now, or at the bottom of Help with Initial setup.

Can I change the details I entered?

Yes, at any time in Settings → Company details. Invoices already issued keep the details they had.

Why don’t I see the setup?

Either the details are already there, or your role cannot change the settings: in that case ask the owner.
