Import data from other software

Bring issued and received XML invoices, customers, suppliers and items with stock into Nanus from the software you used before.

Where to find it
Settings → Import and backup → Import from other software

Open in Nanus

What it is for

If you come from another invoicing program you do not have to start from scratch. Electronic invoices share a common format (the FatturaPA XML), so your history arrives complete; contacts and items are imported from CSV or Excel files.

In which order

  1. Import customers and suppliers first: under Customers and suppliers tap Import customers and suppliers.
  2. Then items: under Items and stock tap Import items, with the stock to carry into the warehouse if you have it.
  3. Finally the invoices, from the Issued and received invoices section: this way they link to contacts with complete data.

Import invoices

  1. Open Settings → Import and backup and tap Open the import.
  2. Under Issued and received invoices tap Choose the files and select the XML files, signed (.p7m) or collected in ZIP archives too.
  3. Under Due dates choose None: invoices already settled or Only instalments not yet due.
  4. Check the preview: for each file you see date, number, kind (Issued, Purchase, Self-invoice, Other company) and result (To import, Already present, Skipped, Unreadable).
  5. Tap Import with the number of documents, then Go to documents.

Nanus works out by itself which invoices the company issued, which come from suppliers and which are self-invoices, creates the missing customers and suppliers and skips documents already present. Invoices of other companies are skipped.

Imported invoices are not sent to the SDI (Sistema di Interscambio, the Italian e-invoicing exchange system) again and do not move the warehouse: they are your history. After the import, numbering continues from the last number imported for the year.

Where to find the files

  • From the Revenue Agency’s Fatture e Corrispettivi portal: in the consultation of issued and received invoices you download the XML files, all together with the bulk download. It works whatever software you used.
  • From your old software: export invoices as XML files (usually in a ZIP archive) and customers, suppliers and products as Excel or CSV from their lists.
  • Quotes, orders and delivery notes have no common format across programs: the history that matters comes with the invoices and their due dates.

Common problems

  • “Too many files at once”: split the import, for example by year.
  • “The ZIP archive is damaged or in an unsupported format”: extract the files and upload them individually.
  • “There are no new invoices to import”: all the documents are already in Nanus.

Frequently asked questions
