What it is for

The real e-invoice is the XML file sent to the SDI (Sistema di Interscambio, the Italian e-invoicing exchange system). The PDF you print or send to the customer is a courtesy copy, and here you decide how it looks: logo, colour, layout, additional header lines, footer and fixed closing notes. The layout applies to invoices, delivery notes, quotes and orders.

How to do it

  1. Open Settings → Print and email and the Printing and email section.
  2. Tap Choose the logo and pick a PNG or JPEG file up to 512 KB. With a logo you can tick Also write the company name next to the logo.
  3. Under Stamp and signature tap Choose the stamp and pick the image of your stamp with signature (PNG or JPEG up to 512 KB). Under Print the stamp on tick the documents: Quotes, Pro forma invoices, Customer orders and Purchase orders are already ticked, Invoices and Delivery notes only if you tick them.
  4. Under Colour of titles and total pick the colour; Back to black resets it.
  5. Under Page layout template tap one of the templates: Classic, Modern, Essential, Elegant, Compact, Bold or Custom.
  6. Enter the Additional header lines (one per line, at most 4: share capital, company register, website) and the Page footer, printed at the bottom of every page.
  7. Under Fixed closing notes choose the Document (Invoices, Delivery notes, Quotes and pro forma, Customer orders, Supplier orders) and write the text: terms of sale, warranties, notices.
  8. Tap Preview to download a sample invoice with the choices not yet saved, then Save.

The ideal logo size is about 700 × 200 pixels, preferably a PNG with a transparent background: it fits the space without being distorted, and its position depends on the layout. The stamp is printed at the bottom of the document, in the signature area, with any layout: to the left of the acceptance signature on quotes, above the signatures on delivery notes.

The custom layout editor

When you choose Custom, a miniature page appears: tap an area to jump to the field that changes it. Start from a template copies the settings of a ready-made template so you can adjust them.

  • Header: company left and customer right, the other way round, or company centred.
  • Header style: plain, with coloured rule or title on a coloured band.
  • Title alignment, Typeface (sans serif or serif) and Text size.
  • Table style: lines between rows, essential, grid, alternating rows or coloured header.
  • Totals style: plain, in a box or highlighted total.
  • Frame around the customer details and Company phone, email and PEC.
  • Section order: move sections with the arrows and hide the optional ones, such as payment, fixed notes and signatures.

The order and sections of the custom layout apply to invoices. Company and customer details, number and date always stay in the header.

QR code for bank transfer payment

On invoices paid by bank transfer (payment method MP05) the PDF prints, in the payment area, a QR code in the European EPC format: the customer scans it with their banking app and finds beneficiary, IBAN, amount and reference already filled in ("Invoice 12 of 30/10/2026", with the instalment when there are several). It is on for everyone: to remove it untick QR code for bank transfer payment and tap Save.

  • The IBAN is the one in the invoice payment or, if missing, the one in the company details.
  • The amount is what is still due on the first open instalment: when the invoice is already paid, or not in euro, the QR is not printed.
  • It is not printed on credit notes either.

PDF file name

Under PDF file name write the Name template with the placeholders {tipo} (type), {numero} (number), {anno} (year), {data} (date, as YYYY-MM-DD), {cliente} (customer) and {azienda} (company); below the field, Example shows the name a today’s invoice would get. It applies to downloaded PDFs and to those attached to emails of invoices, delivery notes, quotes and orders.

  • Empty, the name stays as before: {tipo} {numero}, for example Invoice_12-2026.pdf.
  • With {anno} {cliente} {tipo} {numero} invoice 12/2026 to Rossi becomes 2026_Rossi_Ltd_Invoice_12-2026.pdf.
  • Accents are removed, slashes and symbols become hyphens and spaces underscores, so the name works on any computer; the name stops at 80 characters.

What Nanus checks

  • The logo and the stamp must be valid PNG or JPEG images and no larger than 512 KB.
  • The mandatory invoice sections (lines, VAT summary, totals, legal references, description and transport) cannot be hidden: they can only be moved.
  • A very light colour gives a warning: on white paper titles and total would be hard to read.
  • A PDF file name without {numero} gives a warning: different documents would get the same name.

Frequently asked questions

Does the logo also go into the e-invoice?

No: logo and layout only affect the courtesy PDF. The XML file for the SDI has no graphics.

Where do I change the text of emails sent with documents?

In the same section, under Email texts; the mailbox that sends them is set up under Outgoing mail.
