Back up and restore your data

Download all company data in one file and restore it here or on another installation; on desktop also daily copies and external backup.

Where to find it
Settings → Import and backup → Backup and restore

Open in Nanus

What it is for

The backup is a single file with all the company’s data: contacts, items, documents, stock, accounting and settings. It can be restored here or on another installation, from the computer to the cloud and back. The outgoing mail password is not included.

Only the owner sees this section. In the desktop app it is managed only from the main workstation, not from the other computers on the local network.

Download and restore

  1. Open Settings → Import and backup and the Backup and restore section.
  2. Tap Download backup and keep the file somewhere safe.
  3. To restore, tap Restore from a file… and choose the file.
  4. Check which company and which date the backup is from, then tap Replace data and restore.

Restoring replaces all of the company’s current data with the file’s. If you want to keep it, download a backup first.

Automatic copies on desktop

In the desktop app, under Copies on this computer, Nanus saves a copy every day in the folder shown and normally keeps the last 14 (the exact number is written in the section). Before every restore it also keeps the previous state, for at least 30 days, and the last 5 of these copies are never deleted. Each copy can be downloaded with Download.

External backup (desktop)

With External backup every daily copy also leaves the computer, so a failure or a theft does not take the data with it.

  1. Under Destination choose Second folder (Dropbox, OneDrive, Google Drive, NAS), that is a synced folder or a network drive, or WebDAV server (Nextcloud, NAS, Aruba Cloud Drive).
  2. For a folder enter its full path; for WebDAV enter WebDAV address, Username, Password and Remote folder (created if missing).
  3. If you like, tick Encrypt the external copy with a passphrase and enter the Encryption passphrase (at least 10 characters): the copy is encrypted with AES-256.
  4. Tap Save destination, then Try now for a first external backup.

Keep the passphrase away from the computer. If you lose it, encrypted copies can no longer be opened: nobody, not even support, can recover them. To restore an encrypted copy Nanus asks for the passphrase.

The result of the last external backup is shown below; if none has succeeded for more than three days, Nanus flags it on the Home page.

Common problems

  • “The file is not a Nanus backup or is damaged”: choose the file downloaded with Download backup.
  • “The backup was created with a newer version of the program”: update Nanus before restoring it.
  • “Wrong passphrase, or the file has been altered”: without the right passphrase the encrypted copy cannot be opened.
  • With a WebDAV address on http Nanus warns that password and data travel unencrypted: use https or turn on encryption.

Frequently asked questions

Do I need backups in the cloud?

Data is on the Nanus server, but you can always download a backup to keep your own copy or to move it to the desktop app.

Is the activity log in the backup?

No: the log is not part of the backup and is not restored, so it keeps a record of what happened.
