Import customers and suppliers from Excel or CSV
How to load your customer and supplier list from a CSV or Excel file, with a row-by-row preview and checks for errors and duplicates.
- Where to find it
- Customers & suppliers → More → Import from CSV or Excel
What it is for
It brings the contacts of your old software or of a spreadsheet into Nanus without retyping them. You see a preview first: nothing is saved until you confirm, and only new rows without errors are imported.
Prepare the file
- CSV or Excel
.xlsxformat, with the column names in the first row. The old.xlsformat cannot be read: save it as.xlsxor CSV. - In a CSV the separator (semicolon, comma, tab or vertical bar) is detected automatically.
- Columns are recognised by name, including the Italian names used by common programs: for example Ragione sociale, Denominazione or Azienda (company name); Partita IVA or P.IVA (VAT number); Codice fiscale or CF (tax code); Indirizzo, Civico, CAP, Comune or Città, Provincia, Nazione; Codice SDI, Codice destinatario or Codice univoco; PEC, Email, Telefono, Cellulare, Referente, IBAN, Pagamento, Note, Codice, Tipo. Some English names such as VAT, Address, City, ZIP and Country are recognised too.
- At least one column with the company name or the last name is required.
- The country can be
IT,ITAor written in full. Leading zeros of postcodes and VAT numbers dropped by Excel are put back.
How to do it
- In Customers & suppliers open More → Import from CSV or Excel.
- In Choose the file select the file.
- In Type for rows without a Type column choose Customer, Supplier or Customer/supplier.
- Check the preview: the count of new rows, rows already present and rows with errors, the recognised and ignored columns, and for each row the result New, Already present or To fix with the reason.
- Tap Import followed by the number of new contacts. When done, Back to the list.
What Nanus checks
- Each row goes through the same checks as the record: valid VAT number and tax code, foreign recipient code, IBAN, company name or first and last name.
- Already present: a contact, or an earlier row of the file, has the same VAT number or tax code. It is skipped and the existing contact does not change.
- To fix: the row has an error, shown under the name (for example “Missing or invalid value: VAT number”). It is skipped.
Special cases
- A first-name column without a last-name column is taken as the company name, because some programs use it that way.
- In the Type column the Italian words cliente and fornitore are recognised; with both, the row becomes Customer/supplier.
- A VAT number with the country prefix (e.g.
DE123456789) is recognised; without a prefix the row’s country applies.
For rows to fix, correct the file and load it again: rows already imported show as Already present and are not duplicated.
Frequently asked questions
Does the import update the contacts I already have?
No: only new ones are imported. Those with the same VAT number or tax code stay as they are; to change them open their record.
Can I import products too?
Yes, from Products → More → Import from CSV or Excel, with a similar procedure.
