Issue a self-invoice or integration (TD16-TD29)
Integrations and self-invoices for reverse charge, foreign purchases, plafond overrun, gifts and regularisations, from the supplier invoice or from scratch.
- Where to find it
- Purchases → invoice record → Generate or More → New self-invoice
What it is for
In some transactions VAT is applied by the buyer: domestic reverse charge, purchases from foreign suppliers, goods extracted from a VAT warehouse. In other cases the company invoices itself, as for self-consumption and gifts or for exceeding the plafond (the VAT-free purchase ceiling of habitual exporters). These documents are sent to the SDI (Sistema di Interscambio, the Italian e-invoicing exchange system) like an invoice, with a dedicated document type (TipoDocumento), and Nanus prepares them from the supplier invoice data.
From the supplier invoice
- Open the recorded purchase. If something needs integrating, Generate appears with the proposed type: TD16 for an Italian supplier with reverse charge lines (nature N6), TD18 for an EU supplier, TD28 for a San Marino supplier with VAT, TD17 in other foreign cases. Otherwise use More → Generate self-invoice.
- Check the Document type: you can change it, for example TD17 for services from an EU supplier or TD19 for goods already in Italy.
- If the invoice is in a foreign currency enter the Exchange rate on the date of the transaction (euro per unit of the currency).
- The Lines are taken from the invoice, in euro: the supplier’s rate if any, otherwise 22% to correct where needed. For TD16 only the reverse charge lines, for TD21 only the N3.5 ones.
- Check Series, Number and Date: the self-invoice follows the invoice numbering (or the series set for that type).
- Tap Issue self-invoice: the issued invoice opens and you send it with Send to SDI. The purchase shows Open self-invoice and the list shows Self-invoice issued.
Without a supplier invoice
From Purchases → More → New self-invoice you fill in the document like an invoice: gifts and self-consumption (TD27), internal transfers (TD26), invoices never received or irregular (TD20, TD29) and the other cases. For types where the seller is the supplier choose the Supplier; for TD21, TD26 and TD27 the company is both seller and buyer. In Linked invoice and description enter the number and date of the supplier invoice, if any, and the Reason.
The type must always be chosen
There is no default type, because a wrong one is rejected by the SDI. Below the field Nanus may suggest a type based on the supplier’s country and the lines, or the one you use most often (after at least 10 self-invoices): the suggestion is not an error and you accept it with Use. Once a type is chosen, a note explains when to use it.
What Nanus checks
- Seller and buyer different for TD16-TD20 and TD29, the same for TD21 (SDI rejections 00471 and 00472).
- A foreign seller for TD17, TD18, TD19 and TD28, an Italian one for TD29 (00473).
- The buyer’s VAT number is mandatory for the types that require it (00475) and seller and buyer can never both be foreign (00476).
- No 0% lines in TD21 (00474); in TD22 and TD23 a warning for lines without tax.
- The date cannot precede the supplier invoice date; a foreign currency needs the exchange rate; with no lines to carry over the self-invoice is not issued.
A self-invoice creates no due dates or payments: it only serves VAT purposes. It counts towards your plan’s documents and, once issued, the linked purchase cannot be deleted until you delete the self-invoice.
Frequently asked questions
Which type do I use for a service from an EU supplier, such as a software subscription?
Usually TD17, which covers services from foreign suppliers, EU or not; TD18 is for intra-EU goods. If in doubt ask your accountant.
Do I issue the self-invoice for an exempt farm producer?
Yes, with TD01 Self-invoice for farm producer: the company issues the invoice on the producer’s behalf.
