Ask suppliers for a quotation
How to send a request for quotation to one or more suppliers, record the quoted prices and turn the best offer into a purchase order.
- Where to find it
- Purchases → Orders → More → Requests for quotation
What it is for
Before ordering you can ask several suppliers for prices and lead times. The request lists products and quantities, with a target price if you want to share one; when the supplier replies you enter the quoted prices and, if the offer suits you, turn it into a purchase order at those prices.
Create and send the request
- Open Purchases → Orders → More → Requests for quotation and tap New request.
- Choose the Supplier and check Number and Date; enter Reply by / valid until and the Requested delivery.
- Add the lines: product, Description, Supplier's code (taken from the product if known), quantity, unit and, if you like, the Target price.
- To ask others for the same, open Also send to other suppliers and tick the suppliers: Save for … suppliers creates one request each, with their own item codes.
- Send the request with PDF or More → Send by email: the status becomes Sent. If you sent it another way, use More → Mark as sent.
Record the quotation and order
- When the reply arrives, open the request and tap Record the quotation.
- Supplier's quotation no., Quoted price and Quoted discounts (written as
10+5) appear: fill them in and tap Save. The status is Quotation received. - Tap Create order: a purchase order is created with the quoted prices and discounts, and the delivery and payment terms of the request. The request becomes Ordered and More → Open the order takes you to it.
Lines without a quoted price are left out of the order: that is how you order only part of what you asked for.
Offers to discard
If an offer does not interest you use More → Discard the quotation; Reopen the request brings it back. By default the list shows Open requests; All also shows closed ones.
What Nanus checks
- Target and quoted prices not negative, quantities greater than zero, VAT nature consistent with the rate.
- The reply or validity date cannot precede the request date; a warning if the requested delivery is earlier.
- A warning if some lines have no quoted price; the order is not created if no line has a price, if the quotation has not been recorded or if the order already exists.
Frequently asked questions
Where do I compare offers from different suppliers?
Each supplier has their own request: open them from the list and compare the quoted prices, then create the order from the one you choose and discard the others.
Can I change the request after ordering?
No: once the order exists the request documents the accepted offer and becomes read-only.
