Fulfil an order with a delivery note or invoice
How to deliver a customer order in one or more goes with delivery notes, or invoice it straight away without one, keeping track of what is outstanding.
- Where to find it
- Orders → order record → Create delivery note
What it is for
Fulfilling an order means delivering the ordered goods. Each time Nanus proposes only what is still outstanding, line by line, so you can make partial deliveries without manual sums. Each delivery note (DDT, documento di trasporto) or invoice issued from the order updates the delivered quantities and the order status.
Deliver with a delivery note
- Open the order from Orders (filter To fulfil) and tap Create delivery note.
- Check the delivery note Date. With several warehouses also check the Warehouse: the order’s one is proposed. If the order has a destination, you read Delivery address: below and the delivery note carries it over by itself.
- In the table, for each line you see Ordered and Outstanding; the In this note column already holds the whole outstanding quantity.
- For a partial delivery change the quantities. With
0the line stays on the order for a later delivery. - Tap Issue delivery note: the note is created at once, unloads stock like any delivery note and takes you to its record.
The order status becomes Partly fulfilled or Fulfilled; with the full delivery the Progress becomes Shipped, if you never changed it by hand (otherwise Nanus proposes Mark as shipped). To deliver the rest repeat Create delivery note: only the missing quantities are proposed. At the end of the period the delivery notes are grouped into the deferred invoice like any others.
The order’s document discount is carried into the discounts of each delivery note line, because a delivery note has no overall discount: net prices stay the same.
Invoice straight away without a delivery note
- From the order open More → Invoice without DDT.
- A new invoice opens with customer, payment terms, agent, document discount and only the quantities still outstanding. A note at the top reminds you which order it comes from.
- Adjust the quantities if you invoice only part of it, then issue the invoice as usual: invoiced quantities count as delivered on the order and the goods leave stock.
Order reference on the invoice
On the invoice that fulfils the order (immediate, or deferred from the order’s delivery notes) Nanus automatically writes the reference to the customer’s purchase order: the number and date the customer gave (Customer order no., Customer order date) or, if missing, those of the order in Nanus, with CIG and CUP when present. If only some invoice lines come from the order, the reference says which.
What Nanus checks
- You cannot deliver more than is outstanding: the message tells you how much is left to deliver.
- The quantity must be a number written in digits, for example
2or1.5, and not negative. - If all quantities are zero there is nothing to deliver and the delivery note is not issued.
- A cancelled order cannot issue further delivery notes.
Special cases
- If you delete a delivery note issued from the order, its quantities become outstanding again.
- After the first delivery note or invoice the order can no longer be edited: if the customer changes their mind about the rest, cancel the order and record a new one.
- Issuing the delivery note requires permissions on both documents and delivery notes; agents take orders but do not fulfil them.
